This Privacy Policy describes how Docuaid (hereinafter "we", "us" or "the Service") collects, uses, shares, and protects your personal information when you use our websites, applications, artificial intelligence (AI) services, tools, and features (collectively, the "Services"). We are committed to respecting your privacy and protecting your data in accordance with applicable laws, such as the General Data Protection Regulation (GDPR) in Europe, the California Consumer Privacy Act (CCPA) in the United States, and other similar regulations.

This policy is inspired by the best practices observed in the most widely used and sought-after AI solutions, such as ChatGPT (OpenAI), Gemini (Google), Claude (Anthropic), and Perplexity, to ensure a robust and reliable approach. It does not apply to content processed on behalf of enterprise customers via APIs or specific agreements, which are governed by separate agreements.

1. Information We Collect

We do not intentionally collect sensitive information (such as data about health, ethnicity, political or religious opinions) unless you explicitly provide it and it is necessary for the Services. We encourage you not to share confidential or sensitive data in your interactions with AI.

2. How We Use Your Information

We use your information for the following purposes, based on our legitimate interest, your consent, the performance of a contract or legal obligations:

  1. Provide, maintain, and improve the Services (e.g., generate personalized AI responses).
  2. Develop and train our AI models (you can opt out of the use of your content for training through your account settings; aggregated or anonymized data may be used without restriction).
  3. Personalize the user experience, including recommendations and ads (without targeting sensitive categories).
  4. Communicate with you (updates, newsletters, support; you can unsubscribe at any time).
  5. Prevent fraud, abuse, illegal activities, and protect the security of the Services.
  6. Analyze trends, conduct research, and develop new features.
  7. Comply with legal obligations, resolve disputes, and protect our rights, property, or safety, and that of our users or third parties.

Anonymized or aggregated data is not considered personal information and may be used freely for research and improvement.

  1. With Suppliers and Partners : For business operations (cloud hosting, payment processing, data analytics, AI content generation). These third parties are contractually obligated to protect your data.

  6. With Your Consent : For any other purpose that you explicitly approve.

4. Your Rights and Choices

  2. Correction : Correcting inaccurate information.
  3. Deletion : Request erasure of your data (subject to legal exceptions).

5. Data Security

We implement reasonable technical, administrative, and organizational measures to protect your information against loss, theft, unauthorized access, disclosure, alteration, or destruction. This includes encryption, access controls, and regular audits. However, no online transmission is completely secure; We cannot guarantee absolute protection. You are responsible for keeping your credentials confidential.

We store your data for as long as necessary for the purposes described, or as required by law, before deleting or anonymizing it.

Your information may be transferred to, stored and processed in countries other than your own, including the United States, where data protection laws may differ. We use appropriate mechanisms, such as the European Commission's Standard Contractual Clauses, the Data Privacy Framework (DPF) or equivalent agreements, to ensure an adequate level of protection.
